A Partner to the Board of Directors

Working Together

As the partner to the Board, we make sure all decisions are informed with facts and fully considered in the best interests of the Association. Our lead engagement manager and support team actively manage the project from beginning to successful completion to ensure the Board’s goals are achieved.

As an independent consultant, our project managers have no financial incentive to delay schedules or drive-up costs with change orders. Instead, as members of the CIMS team and agents for the Association, we understand the impact major construction projects have on the community and we serve as advocates for the Board every step of the way.

Our Approach to Engagements

Introduce Your Engagement Team

Project Support Services will meet with the Board to understand the project, set goals and assign a team that will be best suited to partner with the Board on the given project.

Establish the Scope of Services
& Write Specifications

Identifying the players necessary for a particular project (engineers, architects, construction managers, specialize contractors) and preparing detailed RFPs is key for setting a project up for success. Our experienced team will ensure the project sets off on the right foot by developing the scope of work.

Prepare Project Plan & Timeline

It is important the project plan is complete and the timeline is realistic. By understanding the Board’s specific goals and the overall community, we will work together to create a plan that will drive the vendor selection process and overall project.

Selection Qualified Vendors
& Invite Presentations

With a pulse on the industry and experience managing projects of various sizes and complexity across the company, our project managers can assist the Board in vetting and selecting qualified vendors to participate in the bidding process.

Manage Competitive Bidding
& Effective Negotiations

Coordinating an effective and equal bidding process takes time and an in-depth understanding of the project. We will ensure all vendors have an opportunity to view the project, ask questions and receive the same information. We will review proposals for completeness and provide a comparative report for the Board to facilitate the decision-making process.

Active, Involved Project Management
& Ongoing Vendor Oversight

We are the eyes and ears of the Association, conducting site walks, enforcing contracts, confirming schedules, evaluating challenges, communicating with residents and looking out for the best interest of the Association throughout the process. We will provide our knowledge and experience to the Board during project updates and decision-making, making your job easier and straight-forward.

Deliver a Successful Project
Completion on Time

A project is successful when it is completed on-time, within budget, to a high standard and to the community’s satisfaction. Each project impacts several residents, if not the entire community, and we consider our job done when the Board’s goals are met, the project exceeded expectations and there is value -add to the community as a whole.
