Working together, each Association is assigned a dedicated team led by a Community Manager supported by a team of specialists, including Customer Service, Staff Accountant, Accounts Payable, Accounts Receivable and Administration.
In addition, our Project Services consultants have capacity and proven expertise to manage complex projects that may present in any calendar year. Finally, our Maintenance Services team provides professional site inspection, handyman and janitorial services to our communities.
For our Homeowners, our industry leading and highly customized SaaS solution for HOAs provides secure, 24/7 real-time access to association documents, community calendars, board communications, personal accounting ledgers and e-payment options.
For Boards and board committees, there is a proprietary and confidential portal to share information, collaborate and govern. Boards can access Association documents, open meeting and executive session minutes, current and archived financials, historical AP invoices and active vendor contracts. In addition, Boards can review Association activities, including the status of work orders, violations, architectural applications plus Community Manager open and completed action items.
With local offices nearby, Community Managers can be onsite easily to meet with vendors for new bids or to review completed work prior to authorizing payment.
Our Community Managers have technology at their fingertips to perform site inspections via mobile phone with easy reference to prior violations history as they enforce the CC&Rs and maintain the beauty of the community.
Whether welcoming new volunteer board members or setting up new committees, we provide ongoing education and proven tools to help board members to succeed in their fiduciary roles governing all Association matters.
For years, there has been a significant increase in investor activity resulting in many more non-owners (tenants) living within homeowner associations. CIMS offers a rental management program to help Boards to track tenants by partnering with landlords to gather tenant profiles, emergency contact information and copies of the annual lease.
By knowing this shadow population within the community, Boards can enhance security, ensure an effective emergency response and lift community esprit de corps through greater education and engagement of all residents.
